Terms & Conditions

Oxford Language Centre (OLC) reserves the right to change prices, to cancel or change courses and to amend timetables if the need arises at any time and to make additions or amendments to these terms and conditions by notification on our website.

1. Registration Fee

There is a £100 registration fee payable on all courses (except Summer School). This is non-refundable for any reason.

2. Acceptance of Enrolment

A £500 deposit, which includes the registration fee, is payable at the time of booking. This amount is later set against the course fees (less the registration fee), once the student starts his or her course. The deposit fee, less the registration fee, is returned in the event that a student does not start his or her course.

3. Payment

Full fees must be received two weeks before the start of the course. If booking is received less than two weeks before the start of the course, full payment must be made at the time of enrolment. Fees can be paid by cheque, cash or bank transfer.

Bank charges for both sending and receiving banks are payable by the sender.

IMPORTANT: when making your payment please ensure that you transmit sufficient funds to cover the bank charges and to cover the sterling amount shown on the invoice at the exchange rate of the day.

4. Visa Documentation

Once we have received your deposit and registration fee, we will hold a place on the course and in accommodation, if required, and send all relevant visa documentation, if applicable. Please advise us as soon as your visa is granted or refused.

5. Cancellation

Cancellation due to visa refusal. If your visa is refused, please send us a copy of the visa refusal letter. On receipt of this letter, tuition fees, accommodation fees and deposit will be refunded minus any registration fee and bank charges.

Cancellation for other reasons. To cancel tuition and/or accommodation, a minimum of two weeks’ notice must be given in writing to the Principal. For cancellations received more than two weeks before the start of the course, the tuition fees & accommodation fees will be refunded minus any registration fee and bank charges.

For cancellations received less than two weeks before the start of the course (due to reasons other than visa refusal): a £200 cancellation fee is charged.

6. Cancellation by the College

If for any reason a College course has to be cancelled, i.e. insufficient numbers, a course of equal or increased value will be offered or a full refund given.

7. Withdrawal

Two weeks’ notice in writing must be given for withdrawals from a course. Tuition and accommodation refunds will be given minus the one-week notice period. If the withdrawal involves a long-term reduced price course (i.e. over 12 weeks), any refund will be calculated as follows.

Courses of 13-23 weeks shortened to less than 12 weeks will be calculated at the 1-12 week price.

Courses of 24+ weeks shortened to 13-23 weeks will be calculated at the 13-23 week price.

Courses of 24+ weeks shortened to less than 12 weeks will be calculated at the 1-12 week price.

8. Refunds

All refunds are paid minus any registration fee and bank charges.

Refunds are due to the fee payer and all large refunds must be made to the fee payer. Small refunds can be made to students upon receipt of written instructions from the fee payer.

Expulsion — no refunds are given for students who are expelled from College for disciplinary reasons.

9. Academic and Teaching

All courses include a level assessment on or prior to arrival, induction and orientation and regular progress tests. Students who regularly attend and successfully complete the course receive an Oxford Language Centre Certificate of Achievement.

Courses usually start on a Monday (or Tuesday if Monday is a public holiday). Testing and orientation replace lessons on the first day at College.

Prices include teaching materials and use of course books. Students may purchase course books for personal use if required.

Public exam fees are not included in the course prices.

10. Public Holidays and College Closure

Tuition is not given on public holidays (1 May, 29 May, 28 August 2017). No refund or compensation is given for lessons missed due to public holidays.

The College is closed between 14 April 2017 and 24 April 2017 and between 18 December 2017 and 3 January 2018.

11. Discipline

If your work, attendance or conduct is unsatisfactory, you will be subject to the College’s disciplinary procedures.

These procedures may lead ultimately to expulsion. In the event of expulsion, fees are not refunded. Travel and other costs incurred as a result of expulsion must be met by the student or by the student’s guardian. Attendance is compulsory for all students and is a condition of a UK visa.

Non-attendance of visa nationals is reported to the relevant UK government bodies.

12. Accommodation

Oxford Language Centre acts solely as agents (and not as principals) in the arranging and providing of accommodation for students. Prices are per week and accommodation is usually available from Sunday to Saturday. No refund is given for early departure but a charge will be made for any extra nights.

Two weeks’ notice must be given to cancel or withdraw from accommodation. Students who move out without giving the proper notice period will be charged two weeks’ accommodation fees in lieu of notice. Students under 18 wishing to move into private accommodation must seek approval from the Principal and provide written authorisation from parents or guardians. Accommodation during the College holidays is by mutual agreement with OLC. A retainer of 50% of the full accommodation fee will be charged for holiday periods.

13. Liability

Oxford Language Centre shall not be liable under any circumstance for its failure to provide any services whatsoever if that failure is caused directly or indirectly by industrial action or by circumstances beyond the College’s control. Any damage caused by a student to College property or to a homestay property, whether intentional or not, will be charged to the student/s responsible.

14. Holidays for Short-term Students

No allowance is made for students taking holiday during their course (i.e. no refund will be given for days missed and days missed cannot be added to the end of the course).

Students who take unauthorized absence during a short-term course will be marked down as absent from lessons.

15. Insurance

We strongly recommend that all Oxford Language Centre students have appropriate accident, medical and travel insurance to cover personal property, breakages, loss and damage before travelling.

16. Publicity Materials

By acceptance of these terms and conditions, permission is given for the use of student results, student comment or opinion and images or video of students in Oxford Language Centre promotional materials by the student, their parents or guardian.

17. Data Protection

Any information provided to Oxford Language Centre may be held on computer and used by Oxford Language Centre in accordance with its Data Protection registration and the UK Data Protection law. Oxford Language Centre is obliged to provide UK contact details and attendance information to the UK Visas & Immigration (UKVI).

18. Jurisdiction

In any dispute arising out of this contract, the parties expressly agree to submit to the courts of England and Wales having jurisdiction in the matter in question.
